Booking Terms & Conditions

Introduction and Acceptance

These Terms and Conditions apply to all bookings, memberships and use of services provided by Kiko Sports Coaching Ltd, trading as ‘Kiko Soccer Schools’, ‘Kiko Football Club’ and ‘Kiko Sports’ (Company Number 16832889, registered in England & Wales), and to use of our website. By booking, registering, or using our services, you confirm that you have read, understood, and completed all details requested to the best of your knowledge, and that you agree to comply with these terms.

Where a child is being registered, these terms are agreed to by the parent or legal guardian completing the registration or booking on the child's behalf.

Contracting Party

These Terms and Conditions form a contract between Kiko Sports Coaching Ltd and the parent or legal guardian who completes a child's registration or booking (referred to as ‘you’ in these terms). Children are not able to enter into this contract themselves; a parent or legal guardian must complete registration and accept these terms on the child's behalf, and remains responsible for compliance with them.

Bookings and Payment

  • All bookings must be made in advance, and full payment must be made at the time of booking.

  • Payment can only be made by debit or credit card via our website; we do not accept cash as payment for a booking.

  • Discount codes are only valid on stated programmes and may be amended at the discretion of the company.

  • All bookings will be confirmed by email.

  • Any changes made to an existing booking will be charged at the applicable rate.

VAT

Unless stated otherwise at the time of booking, all fees quoted are inclusive of VAT where applicable.

Trial Sessions and Waiting Lists

Where we offer a trial session or place a child on a waiting list, this will be confirmed at the time of booking or enquiry, along with any specific terms that apply. A trial session or waiting list place does not guarantee an ongoing place on a programme.

Membership Fee — Minis Classes

All children who attend Kiko Soccer Schools Minis sessions are required to be members of the Kiko Soccer Schools Club. Membership is payable with your first invoice and is not transferable between children.

Money-Back Guarantee — Minis and Juniors Classes

We operate a money-back guarantee: if you are not happy with the service at your class, and you notify us within 48 hours of your first session, we will refund all remaining fees and cancel your place. This guarantee excludes birthday parties, private coaching, and any one-off sessions.

Missed Classes

Kiko Sports Coaching Ltd operates a no-refund policy for missed classes. Classes must be paid for in a termly block, or, if you are joining partway through a block, from your start date.

Outstanding Fees

We reserve the right to suspend or refuse a child's place on any programme where fees remain outstanding. We will always contact you first to try to resolve any payment issue before taking this step.

Cancelling a Booking (by You)

  • To cancel a booking, we require at least 72 hours' notice before the activity start date.

  • Customers who cancel with at least 72 hours' notice will receive a full credit note. We do not issue cash refunds for cancellations.

  • No credit note will be issued for a booking cancelled within the 72-hour notice period.

Statutory Cancellation Rights

Where you book with us online or by phone, you may ordinarily have a 14-day statutory right to cancel under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. By booking a session that starts within this 14-day period, you expressly request and agree that we begin providing the service before this statutory cancellation period ends, and you acknowledge that your right to a statutory cooling-off refund is lost once the session has taken place. This does not affect the cancellation terms set out above, which continue to apply.

Cancellation or Schedule Changes (by Us)

We may need to amend activity programmes, schedules, services, dates, times and/or venues on occasion, for reasons that may be outside our control. Where we do this, no refund or compensation will be due to the customer, save where required by law.

Behaviour and Conduct

We ensure that all staff and children attending our services are treated with the same respect during all activities, using effective, positive behaviour management strategies to promote the welfare and enjoyment of every child attending, in line with our Code of Conduct Policy.

We expect our staff and children to be free from bullying, harassment and aggressive behaviour, and will not tolerate such behaviour from children attending our services, or from their parents or legal guardians.

We work in partnership with parents, schools and children, aiming to manage behaviour using clear, consistent and positive strategies. Our staff will encourage positive behaviour and provide clear guidance for managing poor behaviour, while maintaining the safety and welfare of children and staff.

On rare occasions, and in more serious cases, we reserve the right to ask parents or legal guardians to remove their child from our services. In the event of unacceptable behaviour by a parent or legal guardian, we reserve the right to terminate any current bookings. In either case, no refund will be made for any remaining sessions booked.

Late Pick-Up or Uncollected Children

A late fee will be charged per child if they are not collected within their booked hours, or before the service closing time. Late fees are calculated at £5 for every 15-minute period a child is collected late; this covers the cost of staff remaining with the child beyond their booked hours.

We reserve the right to withdraw our service where late collection becomes a recurring event. Our approach to checking who collects a child is set out in our Child Collection & Dismissal Procedure, and our approach where a child cannot be collected at all is set out in our Missing Child Policy.

Personal Property

Valuable items should not be brought to any Kiko Sports Coaching Ltd session. We are not liable for the loss of, or damage to, any item of personal or valuable property brought to any of our venues. We advise parents to ensure that all bags and clothing are clearly labelled with the child's name.

Third-Party Venues

Many of our sessions take place at third-party venues, such as schools and leisure centres. Where a venue has its own rules (for example, relating to parking, dogs, or use of facilities), these will be communicated to you and must also be followed alongside these Terms and Conditions.

Mobile Phones and Electronic Devices

Children are asked not to bring mobile phones or electronic devices to any Kiko Sports Coaching Ltd session. Where a device is brought in by a child, it will be kept hold of by the Lead Coach for the duration of the session. We do not take any responsibility for damage to, or loss of, any mobile phone or electronic device brought to our services.

Each Kiko Sports Coaching Ltd venue has access to a phone and/or tablet device, to be used appropriately within our services and in case of emergencies.

Safeguarding

All Kiko Sports Coaching Ltd team members go through a strict safer recruitment process, including enhanced DBS clearance, reference checks, and disqualification-by-association checks, in line with our Safeguarding Policy and Safer Recruitment Policy.

Photography and Filming

Photographs or video may be taken during sessions for coaching or promotional purposes. By registering for our services, you automatically opt in to your child being included in such photographs or video. If you do not wish your child to be photographed or filmed, please email us directly at the contact details below to opt out, and we will record and respect your preference. See our Data Protection Policy and Privacy Policy for further detail on how images are stored and used.

First Aid

In line with our duty of care, by registering your child for our services you agree to our coaches administering first aid to your child at any of our sessions where this is needed. In the event of an accident, first aid will be administered to children in our care in accordance with the permissions you have agreed and confirmed during registration, and emergency services will be called if necessary, in line with our Health & Safety Policy.

Health, Sickness and Medication

Any medical conditions must be fully disclosed both (1) at the time of registration, and (2) again at drop-off if anything has changed. We require any child who is ill or infectious to be kept at home for the full duration of their illness, and for 48 hours after their last symptom.

Insurance

All members aged over 6 months are automatically covered by personal accident insurance while participating in classes, in respect of death, loss of limb or eyes, or permanent total disablement. Members of all ages are covered by our public liability insurance, and Kiko Sports Coaching Ltd also holds employers' liability insurance.

Admissions

Kiko Sports Coaching Ltd provides services to all children, free from discrimination regardless of gender, specific needs, learning difficulties, background, religion, ethnicity, or how well they speak English, in line with our Equality, Inclusion & Diversity Policy.

Assumption of Risk

Participation in physical activity and sport carries an inherent risk of injury. While we take all reasonable steps to provide a safe environment, including risk assessments, qualified coaching staff, and appropriate insurance, by registering your child for our services you acknowledge and accept this inherent risk.

Our Liability

Except for the matters listed below, our total liability to you arising out of or in connection with these Terms and Conditions and your child's participation in our services — whether in contract, tort (including negligence), breach of statutory duty, or otherwise — is limited to the total fees paid by you for the term or programme giving rise to the claim.

We are not liable for any indirect or consequential loss, including loss of income, loss of opportunity, or loss of enjoyment, arising from your, or your child's, use of our services.

Nothing in these terms excludes or limits our liability for:

  • Death or personal injury caused by the negligence of our employees, agents or subcontractors.

  • Fraud or fraudulent misrepresentation.

  • Breach of any term implied by the Consumer Rights Act 2015.

  • Any other liability which cannot be excluded or limited under English law.

If we fail to comply with these terms, we are responsible for loss or damage you suffer that is a foreseeable result of our breach or negligence. We are not responsible for any loss or damage that is not an obvious consequence of a breach of these terms, or that was not reasonably foreseeable to both parties at the time these terms were agreed.

Intellectual Property

All content on our website and in our coaching materials, including text, images, logos, curricula and branding, is owned by or licensed to Kiko Sports Coaching Ltd, and may not be copied, reproduced or used without our prior written permission.

Data Protection

We process personal data in accordance with our Data Protection Policy and our website Privacy Policy, both of which form part of these terms.

Changes to These Terms

We may change any of these Terms and Conditions by posting revised terms on our website and/or by sending an email to the last email address you gave us. The new terms will be effective immediately and will apply to any continued or new use of our services. We may also change the website, our services, or any features of our services, at any time.

Compliments and Complaints

We try to work with our players, partners and parents to offer the best possible experience. If you would like to share an experience with us, or raise a concern, we would welcome hearing from you so we can enhance our services for the future. All complaints will be dealt with fairly, in line with our Complaints Policy, and can be raised by email to info@kikosoccerschools.com.

Programme Dates

All information in our literature and on our website is correct at the time of publication.

General Terms

  • Entire agreement — these Terms and Conditions, together with the policies referred to within them, represent the entire agreement between you and Kiko Sports Coaching Ltd in relation to your child's participation in our services, and supersede any prior agreement or understanding.

  • Severability — if any part of these terms is found to be invalid or unenforceable, the remaining terms will continue to apply in full.

  • Assignment — we may transfer our rights and obligations under these terms to another organisation, for example as part of a sale or restructuring of our business; this will not affect the standard of service you receive. You may not transfer your rights or obligations under these terms without our agreement.

  • Third-party rights — these terms are between you and Kiko Sports Coaching Ltd. No other person has any right to enforce any of these terms under the Contracts (Rights of Third Parties) Act 1999.

  • Notices — any formal notice we need to give you under these terms will be sent to the email address or postal address you provided at registration.

Governing Law

These Terms and Conditions are governed by the law of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
